Executive Leadership: a New Way to Approach Delegation

August 17, 20234 min read

I understand your perspective, Trent, and I'm in complete agreement!
It’s clear that I should seriously consider bringing a Virtual Assistant on board.
I recognise the upsides associated with delegating tasks more effectively.
However, Trent, it's important to highlight that this process isn't as simple as it might seem!

The above text embodies numerous conversations I've engaged in over the years with fellow business owners, all revolving around the concepts of delegation and enlisting support.

There's an awareness among them about the necessity of undertaking this step.

They're grappling with challenges such as:

  • Navigating the necessity to decline assignments due to an inability to manage increased business demands.

  • Finding themselves in dire need of capable staff while struggling with recruitment and employment efforts.

  • Dealing with an incessant lack of time, being pulled in countless directions, and feeling swamped by their responsibilities.

The most appropriate next steps is often quite clear:

  • Engage a skilled Virtual Assistant.

  • Master the art of delegation.

  • Create efficient systems and processes, following the insights outlined in the "E-Myth" book.

  • Develop a comprehensive hiring and recruitment protocol.

Despite these clear solutions, business owners consistently find themselves caught in a quagmire, unable to progress.

Despite knowing the solutions, many business owners struggle to act when it comes to hiring help

This phenomenon has its roots.

It involves, to some extent, a shift in mindset.

They must transition their thinking by learning to ask a better question:

how can i get this done

Furthermore, a portion of the challenge arises from a misinterpretation of the essence of delegation – and the subtle distinction between adopting a managerial mindset versus embracing the mindset of an executive leader.

Allow me to elaborate.

During the initial phases, your organisational chart takes on this form:

you you you

You assume every role.

You manage sales and drive marketing efforts.

You personally oversee the delivery of products or services.

You extend your involvement to customer service.

You shoulder the entire administrative workload, spanning tasks from bookkeeping and scheduling to email correspondence.

The list goes on. You’re doing it all.

As your business grows, you begin to hire people to do things for you

This marks the evolution of your organisational chart:

task doer

Kudos! You've successfully promoted yourself to the position of a manager!

However, a common stumbling block arises as numerous business owners halt their progress at this manager level.

When contemplating the notions of "engaging a Virtual Assistant" or "introducing a recruitment initiative" from a manager-level vantage point, the assumption often entails:

Outlining the specific tasks they'll be responsible for.

Providing comprehensive training on task execution.

Supplying detailed written instructions.

Monitoring their performance and offering constructive feedback.

Viewed through this lens, the prospect of hiring a VA might appear daunting, resembling an extensive endeavor demanding a substantial investment of time – a luxury in short supply at present.

Moreover, this mindset thrusts you into the role of a "Hub and Spoke". Much like the spokes of a bicycle wheel pass through its center, this approach centralizes operations around yourself.

However, what's truly essential is to ascend to the following alternative tier of thought – that of the Executive Leader.

When you step into the role of executive leader, you hire people who are better at the thing you need done than you are.

responsibility

nstead of designating mere "tasks," you entrust them with spheres of responsibility.

You may already be implementing this practice to some extent.

Just as:

  • Your lawyer possesses more profound legal expertise than you do.

  • Your accountant boasts greater tax knowledge than you do.

  • Your web developer excels in constructing websites more than you do.

In these scenarios, you don't find it necessary to micromanage the drafting of contracts, tax filings, or CSS code writing.

What if you extended this mindset to include your Virtual Assistant?

When you think like an executive leader, you assign an area of responsibility, then you ask them what they need from YOU.

What if you entrusted your "recruitment and hiring challenge" to a dedicated recruiter?

Instead of meticulously outlining each individual step and instructing them on the precise procedures – consider requesting them to produce the desired outcomes.

"For a three-hour slot on my calendar, three weeks from now, I'd appreciate it if you could arrange interviews with five well-qualified candidates. What resources or information do you require from my end?"

Executive leaders excel in delegation on a more strategic plane.

They demonstrate the readiness to relinquish excessive control.

Consequently, they're empowered to offload a SIGNIFICANT portion of the demanding tasks.
